What personal data we collect and why we collect it

User of our application management system

During registration and throughout use of the application management system we will collect personal information about you. This information is essential to carrying out the application process for our awards, and it is only used for this purpose. This information will not be shared with any third-parties.

This information is securely transmitted and stored. We store this information in a data centre provided by Amazon Web Services (hosted in various countries such as the Americas).

People who email us

We use Microsoft Exchange Online as our email provider, if you choose to send us an email the details you include will be held securely by Microsoft. Please be aware that you have a responsibility to ensure that any email you send to us is within the bounds of the law.

Marketing material

Within our account application forms, there is a clear opt-in box which gives you the option to receive marketing material from us. If agreed, your name and email address will be added to our mailing list to receive promotional material. If you wish to stop receiving marketing material, you can unsubscribe at any time. There is an option to unsubscribe within the marketing emails you receive. Alternatively, you can contact [email protected] and your details will be removed fully from our mailing list.

Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Contact forms

When someone completes our ‘contact us’ form we ask for a name and email address, this allows us to reply to enquiries in a helpful and timely manner. We will not share this information with any third party. These enquiries are stored in a database to ensure they are not lost in transit, they are deleted from the database once they have been dealt with.

Analytics

When someone visits our website we use a third-party service, Google Analytics, to collect standard internet log information and details of visitor behaviour patterns. We do this to find out things such as the number of visitors to the various parts of the site. This information is only processed in a way which does not identify anyone. We do not make any attempt to find out the identities of those visiting our website.

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

What rights you have over your data

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.
